Call to order
President Bill Fletcher called to order the regular meeting of the WES HUNT CLUB at approx 9:30AM on May 21, 2011 at the small camp house- Clear majority of Members Present
1)Old Business Minutes: Minutes from Nov 2010 meeting available for review upon request
2)Treasurer’s Report Given by Glynn Adams, as follows: Bank Balance as of 5-21-11 at First Security Bank in Bryant, AR of $2,985.87
3)OLD BUSINESS
a)President Bill Fletcher is currently setting up WES Hunt Club as a Non-Profit Corp with the State of Arkansas to complete the setup of a new bank account at a more convenient bank than First Security Bank, as it does not have any branches near Bill Fletcher for him to deposit monies from new/existing members. This was previously agreed upon at the November 2010 meeting and will be completed by June 15, 2011.
b)Pres Bill Fletcher is reviewing the electric costs for the 2010-11 Hunting Season to determine if the camper’s electric fees are covering the electric costs. This is to be reported on at the September 10, 2011 meeting so that any adjustments necessary can be addressed.
c)Speed Limits – Membership instructed to observe common sense speed limits to result in driving with respect to others with regard to dust, presence of children, disturbance of fellow hunters. This applies to on and off road travel. Membership encouraged to voice complaints to Robert Ray, Roy Johnson Sr., and/or Curtis Boyce or to President Bill Fletcher for referral to committee
d)Camping measures in cold weather – Campers encouraged and expected to disconnect from water sources upon leaving so as to assure that others will not freeze-up as a result of their action(s) or non-action(s)-
e)Camping members encouraged to respect other camper’s areas with regard to improvements they have made to their areas, being respectful of the time they have invested to make their improvements.
f)Campers instructed to supply splitters, etc for water connections and to inquire of Curtis Boyce or Pres Bill Fletcher if they are unsure about making their connection. Interest was expressed in installing manifolds and some discussion about the required electric hook-ups on some newer campers vs. older campers to reduce the amperage and therefore reduce the electric costs. It was discussed that Bill Fletcher would inquire about getting the electric company to install another meter pole.
4)New business
a)Motion made and a second to pay President Bill Fletcher $400.00 for 12 lawn mowings from May 2011 through October 2011, as it appears that there will be enough money in the Club funds after paying the lease expenses to pay this. Motion passed unanimously. There was further talk in the form of “discussion only” about the possibility of a $10.00 lawn service fee in the future if it was necessary to satisfy the mowing requirements. VP Mackey offered to help Bill with the 2011 mowing and ask him to contact him if he needed him to help.
b)Motion made and a second that the spouses and family members and grandchildren of Club Members be allowed 1 buck and 2 does each to allow them to pursue the triple trophy. Motion passed unanimously.
c)President Bill Fletcher informed membership of the 2012 deadline of May 15, 2012 for paying 2012 dues to allow time to acquire enough new members to maintain lease without raising dues. No opposition was voiced.
d)2011 Stand Committee was stated to be Curtis Boyce, Robert Ray and Roy Johnson
e)Pres Bill Fletcher to contact and communicate with Angela Sikes about getting the timber company to fix the washout(s) caused by the flooding, to clear away large trees obstructing gates and roads, and to communicate to WES Hunt Club about the proposed clear cutting areas and start and completion dates on that, and to provide timber company locks on the access areas, as they are missing.
f)Comment made about downed trees and the need for them to be cleaned up and cut into camp firewood.
g)Dogs at camp are to be kept on leash and the owner is to clean-up behind their pets
h)Plum Creek has communicated that red letters will be issued for not complying to pollution rules both in the woods and on and near the creeks
i)Pres Bill Fletcher encouraged the camping membership to communicate when they were going to be gone, etc., and reminded the membership that WES Hunt Club is not responsible for member’s personal items and/or property. There was discussion about it working well during the 2010 hunt between Willie, Bill and others in letting people know when you would be there and when you would be away.
j)The membership was notified verbally from members that Tim McDonald and C.W. Davis would not be returning for the 2011 hunt and that Danny Edwards was returning as a member for 2011.
k)New members introduced by Pres. Bill Fletcher: Bill Johnson, Mike Bradshaw, Doyle Crow, Mark Weber, and Tony McMurray. Robert Terry was accepted as a new member. He is Jacob Fullington’s father-in-law. Mr. Albert Easter stated that his son and nephew might be interested in joining.
l)New members instructed to honor the 300-yd rule and two permanent stands
m)Pres Bill Fletcher discussed that we was going to issue new numbers to members by July 1, 2011.
n)Motion made and a second that new numbers are to be posted on access roads in the form of “orange” signs, with numbers attached, and then “red” signs in the 300 yd area of the stands. Motion passed unanimously.
5)Camp reported to be at peace
President Bill Fletcher adjourned the meeting.
